How Often Does a CP12 Need Renewing?
The rule sounds simple — every 12 months — but the edge cases catch Northampton landlords every year.
The core rule
Each gas appliance and flue must be checked within 12 months of installation and at intervals of not more than 12 months since the previous check (Regulation 36). The check must be recorded, and the record given to tenants within 28 days.
Anniversary date vs mobile date
- Anniversary (fixed date): the renewal is always due by the original date, regardless of when you actually book. Book early — if the engineer comes late, you have breached in the gap.
- Mobile date: some engineers issue the next check as due 12 months from *their* visit. Only rely on this if the certificate states it clearly; otherwise, diary the anniversary.
The safest convention: book month 10, complete by month 11. Slippage is absorbed inside a compliant window.
Vacant properties
The duty is continuous. A Kingsley terrace standing empty between tenancies still owes its annual check. Practical guidance: renew on schedule during voids — it protects the asset, and a current certificate is a marketing asset when re-letting.
Change of tenancy
A new tenant must receive the existing, in-date record before they move in. At 28 days' notice periods and same-day move-ins, that means the certificate needs to be sitting in your inbox before handover day, not promised for the following week.
HMOs
Each HMO unit is checked per its own appliances; licensing inspections will ask for current records. Northampton HMO landlords should attach the CP12 to the licence file on renewal.
